Scope of the service

Documents From Italy provides retrieval of identified Italian civil or ecclesiastical records from the competent Italian authority. It is not a genealogy service, law firm or citizenship-eligibility service. The client supplies the identifying information needed to locate the requested record.

Initial request, acceptance and authorization to proceed

Submitting an initial request is free and does not open a paid case or create an obligation to purchase. I first review the information provided and may ask questions needed to understand the requested documents. If I can accept the case, I confirm the scope of the work, the applicable service price and any known external costs in writing. Paid work begins only after the client expressly confirms that they want me to proceed and pays the Case Opening Fee.

Service fee and Case Opening Fee

The standard service fee is US$140 per document. A US$40 Case Opening Fee is charged once per accepted case, after the client has expressly confirmed that they want the work to begin. It covers the initial paid work required to open and begin handling the case, including preparing the request, contacting the competent office and starting the retrieval procedure. It is credited toward the service total rather than added to it. For one standard US$140 document, the remaining service balance is therefore US$100 if the document is obtained. For multiple documents, the total is normally calculated per document and a discount may be agreed in writing.

Once this initial work has been performed, the Case Opening Fee remunerates work already carried out. Any mandatory consumer rights that apply to a particular client remain unaffected; see the withdrawal section below.

Authorization, identification and additional requirements

Not every Italian authority follows the same procedure. A signed authorization (delega), a copy of the client’s identification document, additional supporting information, stamp duty or an official contribution may be requested in some cases. These items are not requested automatically. If they become necessary, I contact the client, explain the requirement and request only what is needed to continue the case.

Authority and third-party charges

Fees or contributions charged by a Comune, State Archive, parish, Diocese/Curia or other issuing authority, together with stamp duties or similar official charges, are separate from the service fee and are the client’s responsibility. Where an authority requires payment directly from the applicant, payment instructions will be provided.

Timing and availability

No fixed completion time is guaranteed. Processing depends on the competent authority, the availability and condition of historical registers, required follow-up and postal/courier transit. Acceptance of a request does not guarantee that the authority will locate or issue the requested record.

Delivery

When I arrange international delivery, the shipping charge is US$20 and the documents are sent by Poste Italiane international registered mail. If the client prefers to use their own courier, the client arranges and pays the courier directly and no US$20 shipping charge is due to Documents From Italy. Carrier delays, customs procedures and events outside the service provider’s control can affect delivery.

Accuracy of client information

The client is responsible for providing the most accurate names, dates, places and supporting records available. Variations in historical spelling can be reviewed, but the service does not include open-ended ancestry research or reconstruction of an unknown family line.

Consumer withdrawal rights

Where mandatory consumer law grants a right of withdrawal for a distance service contract, those rights are not excluded by these terms. If the client asks me to begin the service during an applicable withdrawal period, I will obtain the client’s express request to start work. If the client then validly withdraws before the service has been fully performed, the client may be responsible for the proportionate value of the service already provided, as permitted by applicable law. Any legally required information and withdrawal instructions will be provided before paid work begins.
